Frequently AskedQuestions
Find answers to common questions about our AI services, engagement process, and how we can help transform your business.
We build the system a business runs on when it has outgrown paper and spreadsheets. In practice that means quoting, scheduling, job tracking, customer records, follow-up and invoicing living in one place instead of six. We use AI where it genuinely saves time, but the point is the system, not the technology.
Almost never. Most businesses have one or two things that work fine — usually the accounting software — and the problem sits in the gaps between them. We keep what works, connect it, and replace only what is actually causing the pain. Wholesale replacement is expensive, disruptive and usually solves the wrong problem.
We work with trades and field service, manufacturing and warehousing, transport and logistics, wholesale and distribution, food production, and home services businesses across Melbourne. The common thread is not the industry — it is a business doing good work with admin that has not kept up.
Both, deliberately. The base is a proven platform, so you are up and running in weeks rather than months and you are not paying us to reinvent a calendar. What gets built for you is the part that is genuinely specific to your trade — how you quote, how jobs move, what your customers expect. That split is what keeps it affordable.
Most of them are, because they only match keywords and cannot answer anything real. Ours is set up with your services, your prices and your answers, it hands over to you the moment it is out of its depth, and — the part that matters — it can actually book the job rather than just take a message. You read the real conversations and correct anything that reads wrong.
We start by watching a real week of your jobs — enquiry through to invoice — rather than asking you to describe it. Then we name the single thing costing you the most time and price fixing it. You approve that before anything starts. We change one piece at a time so the business keeps running, and we stay until people have stopped working around it.
The first visible change is usually two to four weeks in — one paper artefact gone, one job that got easier. Bigger rebuilds run two to three months. We deliberately start with something small enough to prove itself, because if the first change does not save someone time, the approach was wrong and we would both rather know early.
We keep an eye on it, fix what breaks, and check in — but the real work after go-live is watching what your people quietly work around, because that is what kills a new system. We train your team so you are not dependent on us for day-to-day changes. Ongoing support is optional and priced separately.
It depends on what you need, but the rule is simple: nothing starts unpriced. You get a fixed scope and a fixed number before any work begins. Most engagements are priced per project, with an optional monthly amount if you want us keeping it running afterwards. If we think the job is too small to be worth paying us for, we will tell you.
Yes, and we prefer it that way. Starting with one part of the business — one crew, one product line, one branch — lets you see whether it actually helps before you commit the whole operation to it. It also tends to surface the awkward realities that never come up in a meeting.
We are based in Sunshine North and work across metropolitan Melbourne — from the western industrial estates through to the south-east. We come to you; discovery does not work over a screen share. We do not keep offices in the other suburbs we list, and we would rather say so than pretend otherwise.
Two honest reasons. We start on your floor rather than in a proposal, so what gets built matches how the work actually happens. And we run our own business on the same systems we sell — every process here, from quoting to job tracking, runs on what we build. We are not recommending something we have only read about.
Your data stays yours, in a form you can take elsewhere if you ever stop working with us — that matters more than most security promises. Connections are encrypted, access is limited to who needs it, and we work within the Australian Privacy Principles and GDPR where it applies. If you have specific obligations, tell us early and we will build to them.
Yes. We will walk you through real builds and the numbers behind them. Some client details are anonymised where we have agreed to keep them confidential, but you will see the actual systems rather than screenshots of somebody else's product.
Send us a note through the form or email us, and we will have a short conversation about where the time is going in your business. No obligation and no pitch — if we cannot help, or the job is too small to be worth it, we will say so and point you somewhere better.
